Privacy and Usage Policy: Best Practices to Follow for Email Use to Maintain Privacy and Optimal Service Usage Are as Follows:
1. All users must exercise good judgment regarding the reasonableness of personal use of email.
2. All users must refrain from engaging in any illegal activities such as unauthorized access, hacking, introducing harmful elements to computers, introducing viruses, or engaging in actions that could disrupt the use of email, which may be punishable by law.
3. Please avoid including unwanted, harmful, or phishing content in emails. Examples of unwanted content or behavior include:
- Email should not be used to create or distribute any attacks or malicious messages, including messages containing offensive comments about race, gender, age, sexual orientation, pornography, religion, political beliefs, national origin, or disability.
- Sending unsolicited or unwanted emails.
- Sending or uploading malicious, threatening, or similar messages or images.
- Uploading or using information or materials protected by intellectual property laws.
- Sending emails that violate the CAN-SPAM Act or any other anti-spam laws. Selling, exchanging, or publishing email addresses of any person without their consent.
- Using email for fraudulent schemes or deceiving users in any way. Sending unauthorized messages via open or third-party servers.
- Distributing malware such as viruses, worms, bugs, trojans, corrupted files, and any other destructive or deceptive elements.
- Using phishing to impersonate a false identity to obtain other users’ data such as passwords, financial details, or government-issued ID numbers.
4. Affiliates who receive any email messages similar to this content must immediately report it to AlMajd Private Schools via email (help@1.almajd.edu.sa) for necessary action.
5. Do not use the school email for commercial activities unless approved by the school’s competent authorities.
6. Personal information must not be transferred or disclosed to any other party.
7. Under no circumstances may users share usernames and passwords among themselves.
8. The username and password for email must be kept private and confidential, and used securely and individually.
9. All school affiliates must adhere to recommended practices when choosing their passwords.
10. Passwords must be changed immediately if there is any suspicion of exposure, and the school administration must be notified via email (help@1.almajd.edu.sa).
11. School email users are allowed to benefit from the features provided by Office 365 for purposes that serve official administrative, academic, research, and community service activities.
12. Affiliates are allowed to join email groups that serve work objectives, not personal ones.
13. Employees are removed from all groups immediately upon termination of their contract with the school.
14. An employee’s email is deleted after retirement if not used for a full year.
15. Usage is restricted according to applicable Saudi laws, and it is prohibited to upload inappropriate images, use the email in violation of these laws, or alter personal user data such as personal info, display name, display picture, or anything indicating meanings that are inconsistent with the Kingdom’s laws or the published school policies.
Tips for School Email
Recommended Rules for Choosing Your Password:
- Your password should contain letters, numbers, and symbols (uppercase and lowercase letters, and digits).
- The minimum password length should be at least 9 characters.
- Use both uppercase and lowercase letters (in a foreign language).
- Choose a unique and short phrase.
- Do not use only numbers, or only uppercase letters, or only lowercase letters.
- Use similar verbal alternatives, e.g., (in a foreign language) ‘Luv 2 Laf’ instead of ‘Love to Laugh’.
- Things to avoid when choosing a password:
- Your password should not include your username or any part of it.
- The password should not be guessable or a word from the dictionary (English or any other language).
- Do not use example passwords used in password tutorials.
- Do not repeat characters (e.g., bb11).
- Do not use only numbers, or only uppercase letters, or only lowercase letters.
- Do not use sequential characters on the keyboard (e.g., asdf or qwer) or sequential numbers (1234).
- Do not use words or abbreviations found in dictionaries.
- Do not use a password that includes personal information (name, birthdate, etc.).
- Avoid using common passwords like 123456, car, football, admin.
Tips for Keeping Your Password Secure:
- Never share your password with anyone.
- Do not write your password in any document, on your phone, or in notes.
- Never send your password via email.
- Do not use browser auto-save for passwords.
- Test your current password regularly and change it at least twice a year.
- Never write down your password—even if it seems random to others, think of a way to remember it without writing it down.
- Immediately change your password if you suspect it has been exposed.
- Do not use your email or sensitive personal information password on any other website to avoid risks if that site is compromised.
Tips for Protecting Your Email:
- Regularly use antivirus and spyware detection software on your personal or work computer to remove harmful software and viruses immediately.
- Download the latest browser versions from the websites you use, such as IE or Firefox, and enable automatic updates. Note: Google Chrome updates automatically when opened.
- Always stay updated on new email security and training programs to better protect your school email.
- Do not open attachments without a clear description or if you don’t know the sender.
- Beware of emails threatening to close your email within 24 hours or asking you to update your information—these are fake messages aiming to steal your email access. Delete them and ignore.
- Always log out from your email on any device you use, especially public or shared devices.
- Do not respond to spam or promotional messages or invitations to inappropriate websites, as this confirms your email is active and may result in more spam.
